We're Hiring!

Office Manager

Key tasks:
  • Management of the office and building - managing and overseeing the cleaner, alarms systems, key and fob administration and co-ordination with the landlord etc. Arranging emergency procedures including fire, security and first aid.
  • General office admin - manage the post, stationery ordering, food orders and deliveries (e.g. milk, tea and coffee), preparing wages information to send to Accountants etc.
  • General Reception duties - answering calls, emails, letters, updating document templates, document typing, appointment making, filing (both digital and physical) etc.
  • HR admin - onboarding and off boarding staff, maintaining relevant information on HR software, co-ordinating with our HR advisors to issue contracts and office handbooks etc., assisting in maintaining the office standards etc.
  • PR and marketing - liaising with external companies and managing Mullins Dowse Architect’s social media accounts etc.
  • Event organising - CPD lunches, xmas party, summer gathering and promotional client events etc.
  • PA duties - acting as a PA to the directors.

Key tasks:
  • The successful candidate will ideally have excellent communication skills, both written and oral along with a professional demeanour and presentation.
  • You will be enthusiastic, motivated, and able to meet deadlines and targets when required.
  • Well organised and able to multi-task, work well under pressure and have a good eye for detail.
  • Must have a positive, can-do attitude with a dynamic approach and the ability to use own initiative.
  • Proficiency in Microsoft office suite, including Word, Excel, Outlook and Teams.
  • Excellent people skills.
  • Happy to get involved in whatever is needed to keep the office running smoothly.

  • Other experience and skills that are beneficial:
  • Experience with maintaining company social media and general marketing
  • Experience using Apple computers and especially the software Pages and Numbers.

  • Experience maintaining ISO 9001 and 14001
  • 3 to 5 years' experience working as an office manager/administrator; or comparable work experience.
  • Project Document Control

Hours: 22.5 hours a week. Tuesday to Friday.
